Securing Zoom Meetings
Completion requirements
Zoom invitations are inherently insecure. Even if you add passcodes, once the invitation is sent via email, the recipients can forward it to others. At GCC, the method for ensuring the greatest security is to schedule meetings through Moodle classrooms, as access to Moodle requires a password.
When scheduling your meeting, consider setting these options:
- ?Require meeting password? this password MUST be provided to students and others who will join the meeting. Faculty can enter this in the description of the meeting when scheduling them in Moodle. The password is also contained in the invitation to the meeting.
- Mute participants upon entry (although they can unmute themselves).
- ?Enable waiting room? requires the host to admit participants to the meeting.
When using a passcode, be sure to take steps to ensure your meeting URL stays secure;
- If emailing the invitation, only send it to known individuals. Understand that if recipients forward your email to others, then anyone who gets the link with the embedded password will be able to enter your meeting.
- When a meeting is set with a passcode, the URL has the passcode embedded, for example:
https://zoom.us/j/92792992331?pwd=YzVTTDRGUHUzbnNJb1hkZGVWaS9Mdz09
If you send the URL up to the ?, for example:
https://zoom.us/j/92792992331
Then users will be prompted to enter the passcode. The passcode can be sent via another email, posted on Moodle, sent by SMS or some other controlled. method.
If you find there is an unwanted participant, the host can remove that individual:
- Click Manage Participants at the bottom of the Zoom window.
- Next to the person you want to remove, click ?More.?
- From the list that appears, click ?Remove.?
Lock your meeting once it begins:
- Click Manage Participants at the bottom of the Zoom window.
- At the bottom of the Participants panel, click More.
- From the list that appears, click Lock Meeting.
Limit screen sharing to the host
While in your meeting,
- Click the up-arrow next to Share Screen.
- Select Advanced Sharing Options.
- Under Who can share, click Only Host.
